The final decision, interpretation and enforcement to the below will be made by the Moparfest Show Coordinator.

VENDOR HOURS    -Show hours, setup & take down

Moparfest starts at 8 am Saturday & Sunday morning
and ends at 4 pm on each day.

Set up time is:
Friday from 11 am to 7pm.
Saturday 7-8am
Sunday 7-8am

Teardown time is:
Sunday 4-7pm
Please plan on staying right to the end.

NOTE: There will be no vehicle traffic in the vendor field while the show is on.

VENDOR PRICING    - This year's prices

In order to qualify for " Pre-registered " booth rates, full payment must be received (post marked) by July 15, 2010. Applications received after that date and the day of the show will be at "On Site" prices.

Vendors that preregister will automatically be added to the 2010 Vendor page of the Moparfest web site. Any vendors reserving a space after July 15th will not show on the web site or on the vendor map.

Pre-registered vendors will receive a confirmation package in the mail.

VENDOR CANCELLATIONS - Refunds

  • Should you need to cancel up to 1 month prior to the current show you can do so by calling the office at 519-342-1284 and all of the money you paid for the current year can be applied to the next year's show. You may not however end up with the same space. The first right to that space will be to the current year's holder. You will be given a choice of available spaces shortly after the show. No transfers after July 15th, 2010.

  • Refunds will be subject to a 20% processing and handling charge for cancellations prior to 1 month of the current show.

  • No refunds or transfers will be given  for 2010’s show after July 15th 2010 or during, or after the show.

VENDOR SPACES   

  • Vendor spaces come in the size 12’x12’ and 20’x20’. If you require more space you will need to purchase multiple spaces.

  • There are NO vehicles, trailers, or generators allowed in the 12’x12’ spaces.

  • All Vendors must provide their name, or Company name, address and phone number with pre-registration or on-site registration.

  • Vendors are responsible for the following:

    • Supplying their own generators as there is NO electrical service.

    • Supplying their own tables, chairs, tents or other display equipment that they may require.

    • All garbage, cardboard or unsold equipment must be removed by the Vendor. (A charge will be rendered for any cleanup required and, if not paid, the Vendor will not be allowed in the next year's show)

  • Merchandise, materials or displays that is not appropriate for a family Mopar show, at the request of the Show Coordinator, shall be removed. The Show Coordinator's discretion on what is appropriate will be final.

  • Sound Systems, Music or equipment noise must be kept at a level appropriate to the area of the vendor’s booth. At the request of the Show Coordinator or their assistants or neighbouring booths, the vendor will reduce the noise to an acceptable level.

  • Vendors must keep all merchandise, displays, equipment, vehicles and trailers within the confines of their booth space in order not to interfere with neighbouring vendors and pedestrian aisle ways.

  • Vehicles or trailers that are part of the display must remain in the booth at all times while the show is open on Saturday and Sunday

  • If you have paid for a 20’x20’ space and wish to keep you vehicle on it you may do so, however NO driving in and out. Security will not allow it. If you take your vehicle out, you will have to park in the outside parking area till morning when the vendor registration opens again.

  • You can park & sell a vehicle from your vending space, but if you want to be eligible for the grand prize car that is the participant door prize you must register it separately and it must have a different tag.

Final booth allocation will be at the discretion of the Show Coordinator and will be final.

VENDOR CONFIRMATION  PACKAGE

  • Your confirmation package will be mailed out to you approx 2 months prior to the show. In it you will find you parking pass, armbands, confirmation letter. These CAN NOT BE REPLACED. You will need them to gain access to the vendor field.

  • Vendors will receive (2) two armbands passes for each space. Extra passes can be purchased at a rate of $10.00 each for vending staff.

  • Vendors will receive (1) one parking pass for each name registered. This will allow you access to the vendor field during setup & take down. During the show hours that same numbered tag will allow you to parking an area closer to the grounds.

  • All Vendor parking tag vehicle must park in the designated Vendor parking areas.

  • Hang you parking tag from your mirror with the numbers facing out.

VENDOR WELCOME PACKAGE – goodie bag, plaque

  • All vendors will receive cards to place in their booth as well paperwork for next year’s show. You will be given the option to pay in the current year (2010) for the 2011 show to reserve the same space and price.

  • The first 100 vendor names (not spaces) to the vendor registration tent will receive a goodie bag and plaque. 

RESERVING  YOUR SPACE FOR NEXT YEAR   
I
f you wish to have the same space # for 2011 you must fill in the paperwork before you leave the 2010 show. There will be a form in your welcome package.

  • Any vendors that are a "no show"  by 8 am on the day of the show will forfeit their space and we reserve the right to resell the space as it is better for the rest of the vendor field and the show to have a full field.

  • Vendors may purchase the space for one day, but we reserve the right to resell the space  for the other day as it is better for the rest of the vendor field and the show to have a full field. The right to that same space for the next year would go to the person who is there on Sunday.

  • If a vendor leaves early it will be considered a "no show".

VENDOR TRAFFIC CONTROL  

  • All vehicles will be asked to leave the grounds through the gate that they entered. It is actually faster as all the show vehicle must use their entrance and the vendors will use a separate entrance. There will be police officers at the major intersections to keep the traffic flowing.   We appreciate your cooperation with this.

  • If you have paid for a 20x20 space and wish to keep you vehicle on it you may do so, however No driving in and out. Security will not allow it. If you take your vehicle out, you will have to park in the outside parking area till morning when the vendor registration opens again.

  • Due to limited space all extra vehicles must be parked in the spectator parking area.

  • Vehicles used to deliver equipment and supplies to the booths are allowed twenty minutes to unload and then must be removed from the aisles of the Show Field. Vehicles must be moved immediately if requested by the Show Coordinator or assistants. Designated Vendor parking will be available with the proper parking permit.

  • If you have paid for a 20x20 space and wish to keep you vehicle on it you may do so, however No driving in and out. Security will not allow it. If you take your vehicle out, you will have to park in the outside parking area till morning when the vendor registration opens again.

OVERNIGHT  for VENDORS

  • We understand that most people have travelled a great distance and have spent a lot of time setting up your space so you are welcome to stay with your product overnight or over in the treed area in the vendors field.

  • There are no fires allowed at any time, no loud music etc. All tents etc must be removed by 7:30 am.

  • All generators that not needed for health reasons must be turned off by 9 pm.

  • No driving in and out. Security will not allow it. If you take your vehicle out, you will have to park in the outside parking area till morning when the vendor registration opens again.

SERVICES AVAILABLE    -Camping, showers, preshow breakfast, security, medical

Security

Moparfest will provide a security person for Friday night and Saturday night, however, the Moparfest Committee, it's members, or any of the volunteers are not in any way responsible for theft, loss, vandalism or damage that may occur before, during or after the show.
You CANNOT bring a dog for security reasons.

Camping

Vendors with vendor armbands are welcome to stay with your product overnight or over in the treed area in the vendors field. However there is no fires allowed, no loud music etc. All tents etc must be removed by 7:30 am.

Breakfast

The Legion (on the grounds) will be providing a full hot breakfast from 7 am till they run out (about 10 am) Cost is $8.

Supper

The New Hamburg Legion, located at the gates to the Vendors Field will have food and refreshments available Friday and Saturday for supper after the grounds close.

Showers

The showers in the arena change rooms will be available Saturday & Sunday morning (very early) See Security for a key.

First Aid

There will be First Aid available on the grounds during show hours only. The closest hospital is in Kitchener.

ATM machine

There will be ATMs available during show hours at the back entrance of the arena.

Washrooms

Sorry to say, it mostly porta potties. They are where they are because they are emptied 3 times per day and the truck must have easy access to them.
If you and a vendor neighbour want to rent one for personal use. If you bring a lock it will not need to be emptied till the end for the show. The added cost is $250. for the weekend. (That's what we pay)

ANIMALS  

Dogs (pets) are not allowed on the grounds. This is because of our insurance and the safety of the people and vehicles.

VENDOR COMPLIANCE

Should a Vendor not comply with the Rules and Regulations of the show, the Show Coordinator has the authority to remove the Vendor from the show.
